EXISTING PLAYER REGISTRATION FORM
PROGRAM POLICIES & AGREEMENT
Thank you for being part of the JC Fit Tennis Academy family. To provide the highest quality experience for all players and families, we kindly ask that you review and adhere to the following policies.
ATTENDANCE POLICY
1. Same-Day Absences
Due to the high demand for our programs and the limited number of players allowed per session, we are unable to honor make-ups for same-day cancellations due to illness, no-shows, vacations, or other commitments.
If you need to switch days, please notify us at least 3 days in advance, and we will do our best to accommodate the request based on availability and level compatibility.
2. Monthly Cycle Commitment
Once a player has begun a monthly cycle, missed sessions within that cycle cannot be transferred to another program, credited, or made up at a later date.
3. Advance Notice for Make-Ups
If your child will miss a regularly scheduled session, we require a minimum of three (3) days' notice to request a make-up.
Make-ups are subject to:
Court availability
Player-to-court ratio
Level compatibility
Without proper notice, we unfortunately cannot offer make-up sessions, as last-minute changes disrupt the balance and productivity of the program.
4. Emergencies
In the event of a serious illness, family emergency, or unforeseen circumstance, please contact us via email. We will review each situation individually and do our best to work with your family on a case-by-case basis.
RAIN POLICY
Please do not text or email regarding weather updates. We will send an email 30–60 minutes before the scheduled session if there is a cancellation.
If you do not receive an email, please proceed to the courts as scheduled.
Rain Cancellation Before Class Begins
If a class is canceled before the session starts, you will receive a credit to reschedule on an alternate day outside of your player's regular session.
Credits remain valid for the current semester and are subject to availability.
Rain During an Active Session
If rain interrupts or shortens a session after it has already started, we are unable to provide a make-up.
Whenever conditions are safe, our coaching staff will make every effort to continue and complete the session.
RESCHEDULING POLICY
To request a make-up session, we require at least three (3) days' notice.
Rescheduling is based on:
Court availability
Player-to-coach ratio
Level compatibility
Due to high demand, we cannot guarantee make-ups. The dates and times initially offered are the only available options at the time of the request, and additional options may not be available.
PROGRAM DISCONTINUATION POLICY
Because many of our programs operate with waiting lists and limited court availability, we require a minimum of two (2) weeks' written notice before the end of the current billing cycle if you wish to discontinue the program.
This advance notice allows us sufficient time to plan accordingly and offer available spots to players on our waiting list.
Important:
If notice is not received at least two weeks before the end of the cycle, the following month's fee will remain due.
If a family decides to withdraw on or after the start of a new monthly cycle, we are unable to cancel or prorate the month, and payment for that month will still be required.
We appreciate your understanding, as staffing, court reservations, and player placement are arranged in advance.
